    The Administrative Assistant is the core liaison between the management office and the owners/residents. The Administrative Assistant will ensure all daily administrative functions are performed accurately and satisfactorily. In addition, the Administrative Assistant assists the Property Manager with the day-to-day administration of the property. 


    • Primary reception and customer service. Greets owners, tenants, guests, and vendors upon entry to the management office.  Process requests for information.
    • Prepare and process work orders for the maintenance staff.
    • Data entry:  Responsible for maintaining all contact information in the management software systems (move in/out process, contact information, insurance, etc).
    • Conducts  orientation  sessions  with  new  owners  and  residents  of the Association.
    • Responsible for posting all charges (i.e. work orders, movie tickets, transfer fees, UPS and other miscellaneous charges).
    • Collect and processes sales and leasing documentation.
    • Maintains all Management office equipment.  Coordinates with equipment vendors for service as needed.
    • Receives and sorts all mail (payments, invoices, etc.) and forwards/files to the appropriate.
    • Manages the owner/resident files, storage lockers, and pet information.
    • Manages  and  maintains  the  function  rooms,  freight  elevator  (moves and deliveries).
    • Maintains exterminator, laundry room repair and elevator repair.
    • Prepares association bulletin boards, newsletter and weekly resident email.
    • Special event and meeting preparation:  Prepare meeting packets, room set-up and food/beverage set-up and
    • Provide administrative support for committees and Association activities.
    • Creation distribution of monthly “Clearinghouse” Community Marketplace.


    • Strong verbal and written communication skills
    • Computer Skills:  MSOffice, MSExcel, MSAccess or Database/Contact Management Software Applications, Yardi or Property Management Software a plus.  
    • High level of organization, attention to detail and self-discipline to work independently.
    • Moderate to strong computer Type 50 wpm.
    • Administrative or Related Experience in industry. 
    • Experience: 1+ year in condominium or residential property management setting
    • Community Management Educational Courses a plus:  M100 Course
