    Draper and Kramer is looking for an Assistant Property Manager for a high-rise condominium building on N Lake Shore Drive.  The Assistant Property Manager assists the Property Manager in the administration of the on-site office. The Assistant Property Manager is the primary initial contact for Owner and resident inquiries. The Assistant Property Manager will fulfill their responsibilities in accordance with all federal, state and local laws and with the condominium management objectives of the Property Management Company. The Assistant Property Manager shall not be subject to direction or assignments from Board members or committee members except to the extent that such routine or special assignments are made with the knowledge and consent of the Property Manager.

     

    This position is a salaried position. The regular hours of the Assistant Property Manager are 9am – 5pm Monday thru Friday or 8am – 4:30pm (additional hours during peak workloads). Attendance at frequent evening meetings is required.

    Responsibilities

    • Provide outstanding customer service for all residents and Board of Directors; develop and maintain open lines of communications
    • Provide support for Property Manager with staff management responsibilities including scheduling, training and general supervision
    • Enforce the rules and regulations of the association
    • Attend all Board Meetings and assisting any committees/commissions as needed
    • Ensure that residents are provided with a clean, safe and well-maintained environment
    • Process invoices, entering unit information, and entering unit charges
    • Process work orders and entering unit information
    • Process all paperwork and correspondence related to unit leases and sales
    • Schedule and coordinating moves
    • Schedule and coordinating vendors and contractors
    • Schedule and coordinating amenities
    • Provide Door Staff oversight
    • Assist with the management of garage operations and staff
    • Coordinate and track all resident based receivables
    • Adhere to all federal, state and local laws, as well as all policies and procedures contained in the manuals issued by Draper and Kramer, Incorporated or as otherwise communicated (verbally or in writing) to site employees
    • Own and coordinate special projects as assigned from time to time by the Property Manager
    • Complete 22.1 and Condo Finance questionnaire requests
    • Collect and prepare construction packages for the Property Manager's review
    • Maintain accurate unit and vendor files
    • Provide Property Manager a weekly update detailing moves, sale/leases, rule infractions, complaints, outstanding requests, and staff schedule for upcoming week
    • Maintain current insurance (COIs) for units, renter, and vendors
    • Assists with the full range of the day-to-day administration of the condominium property, including but not limited to, project management, budget preparation and execution, building operations, facility maintenance and repair
    • Other duties as assigned

    Qualifications

    • 1-2 years’ experience in multifamily property management
    • CAM license issued by the State of Illinois within 60 days of hire
    • Experience with MS-Office (basic level knowledge of Ms-Word, Excel, Outlook)
    • Experience with Yardi preferred
    • Must be able to supervise staff
    • Ability to perform accounting functions (accounts payable/receivable) and administrative functions
    • Good telephone/customer service skills
    • Ability work on several projects at once while continuing to perform day-to-day activities
