    The Administrative Assistant’s responsibilities will vary based on location, however strong communication skills and a personable demeanor are key factors to success. The ability to multi-task and be adaptive to changing responsibilities while maintaining a positive attitude are also crucial. Experience with Accounts Payable and Receivable is preferred.

    Responsibilities

    • Provides administrative duties such as answering and managing incoming calls, faxes and mail
    • Assists with AP and AR functions
    • Coordinates meetings and private events calendar for hospitality room
    • Interfaces with residents and responsible for responding to inquiries in a timely manner
    • Prepares notices, calendars and requests bids
    • Manages work orders, communicates status of work orders to tenants in a timely manner
    • Process payroll when PM is not available
    • Creates and maintains commercial space files, vendor files and Association files
    • Orders office supplies
    • Create security and maintenance reports
    • Handle cabana members fees and paperwork
    • Process tennis membership, registration and program fobs

    Qualifications

    • High School diploma required
    • Minimum 1-2 years relevant experience, real estate or property management services experience preferred
    • Proficiency in Microsoft Office products
    • Yardi experience, preferred
    • Excellent interpersonal, verbal and written communication skills
    • Must be a self-starter and able to multi-task
    • Ability to work in a fast-paced work environment
    • Strong time management, organizational and problem-solving skills
